To ensure the safety and well-being of international students staying on campus during the winter vacation, and to standardize management procedures, in accordance with the relevant requirements of the Notice on Submitting the List of Students Staying on Campus During the 2026 Winter Vacation (Logistics Management [2026] No.1) and the Notice on Student Education and Management at the End of the Semester and During the Winter Vacation (Student Affairs [2026] No.1), the following arrangements are hereby notified. All students are requested to comply and implement accordingly.
I. Management Requirements for Students Staying on Campus
1. Data Submission:
All students are required to accurately submit the information of staying/leaving in China during the vacation. Please submit the information to the class supervisor by January 6, 2026.
2. Dynamic Management and Leave Reporting
Students staying in China must strictly adhere to university regulations. If any student needs to leave Suzhou City during the vacation due to special circumstances, they must submit a written report to class monitor in advance. The report must include the departure date, destination, mode of travel, and expected return date. Permission must be obtained from the supervisor before leaving. Students must keep their communication channels open and respond promptly to any contact from their supervisor while away.
3. Visa and Insurance Verification
All students must double check the visa and medical insurance validity periods, to ensure that your visa and medical insurance remain valid throughout the entire winter vacation period (January 10 – March 1, 2026).
For students whose visas are due to expire during the winter vacation, you are required to report to your class supervisor before January 8, 2026, univresity will help to prepare for the visa documents. Late submissions may affect subsequent procedures.
For student whose medical insurance is at risk of expiring, you need to renew it asap to avoid any interruption in medical coverage.
4. Safety reminds
Fire & Electrical Safety: Strictly follow dormitory and accommodation rules. Do not use unauthorized high-power or flammable appliances. Do not block fire escapes, and ensure you know the location of fire extinguishers and emergency exits.
Personal & Property Security: Always be vigilant. Keep your dorm room or apartment locked when you are away. Safeguard your personal belongings, passports, and valuable items. Avoid carrying large sums of cash.
Traffic Safety: Obey all traffic laws whether you are a pedestrian, cyclist, or driver. Be extra cautious on the roads, especially during adverse weather conditions.
Guard Against Fraud: Be extremely cautious of suspicious phone calls, text messages, emails, or online messages requesting personal information, passwords, or money transfers. Remember that no legitimate government or university office will ask for your password or bank details over the phone or via unsolicited messages. If in doubt, verify with your counselor or the International Student Office first.
Compliance with Laws and Regulations: All students must comply with Chinese laws, regulations, and all university policies and campus management rules during the winter vacation period.
II. Compliance and Consequences
The safety and security of every student is our utmost priority during the winter vacation. Failure to comply with the reporting requirements and management regulations outlined in this notice will be treated seriously. Students who do not submit their vacation plans on time or who violate relevant stay/travel management rules may face disciplinary action, which can include a "Serious Warning" or higher sanction. All disciplinary records will be documented in the student's personal file. Your cooperation is essential to ensure a safe and orderly environment for everyone.
In case of any emergencies during the vacation, please contact the International Students Office immediately, so we can work together to ensure a safe and orderly winter vacation for all students.
